WhatsApp sending methods: which one does your business actually need?
Short answer
399Apps has three ways to send on WhatsApp. Quick send (wa.me) works instantly with no setup — you tap send and your own WhatsApp opens with the message ready. The Meta Cloud API sends automatically from your own business number with no human present. A QR gateway pairs by scanning a code and needs no Meta account. Most shops need only quick send; switch to the Cloud API when messages have to go out on their own.

The three transports at a glance
Each transport solves a different job, and only one of them needs the Cloud API setup that every WhatsApp guide on the internet leads with. The table below is the decision in thirty seconds.
Quick send is a wa.me deep link: the billing software builds the message in the browser, WhatsApp opens with it ready, and you press send. No Meta account, no verification, no templates, nothing to configure. The message goes from your own personal or business WhatsApp exactly the way a manually typed message would. It is on every plan and costs nothing because the software never touches the message — your phone does.
- • Quick send (wa.me): instant, no setup, you tap send every time — free on every plan
- • Cloud API (Meta): fully automatic, your own business number, needs Meta Business verification (1–14 days) — free add-on, Meta bills you for messages
- • QR gateway: pair by scanning a QR code, no Meta account, works from a personal number — self-hosted only, check with 399Apps before relying on it
Quick send — the one most businesses actually need
Quick send works on every 399Apps account the moment you sign up. In Nidhi POS, the Send receipt button after a sale opens your WhatsApp with a link to the bill already composed. In Nidhi Books, the WhatsApp button on an invoice does the same. In Nidhi Campaigns, the wa.me fallback means you can send promotional messages even before the Cloud API is connected.
Because the message is built in the browser and handed straight to WhatsApp, 399Apps never sees or stores it. There is no template approval, no 24-hour window and no per-message cost from Meta — the economics are the same as typing a message yourself, because that is what it is. The trade-off: a person has to be present to tap send, and WhatsApp opens the customer's chat rather than attaching the PDF inside it, so the customer gets a link to open rather than the file directly.
- • Works on any plan, including the free trial — nothing to set up
- • Message goes from your own WhatsApp (personal or Business), not from 399Apps
- • No template approval, no Meta account, no verification wait
- • Someone has to be at the counter to tap send — it does not run on its own
- • Customer gets a link to the bill, not the PDF file directly in the chat
Cloud API — when messages have to go out without a human
The Meta Cloud API connects 399Apps to your own official WhatsApp Business number. Once connected, Nidhi POS sends the bill PDF directly into the customer's WhatsApp chat (an 80mm counter slip or the full GST tax invoice, your choice) without anyone touching a phone. Nidhi Campaigns dispatches marketing messages to hundreds of customers overnight. Booking confirmations, payment receipts and delivery updates go out the moment the event happens.
The connection is a free add-on on any paid 399Apps subscription — no WhatsApp plan, no monthly platform fee from us. Messages are billed by Meta, directly to your business, at Meta's own published rates, on the payment method attached to your Meta Business account. 399Apps adds no markup on any message at any volume. The setup takes about an hour of form-filling plus 1 to 14 days of Meta's verification queue, and 399Apps does it for you free of charge, inside your own Meta Business account, so you own the WABA, the number and the templates at all times.
- • Messages go automatically — payment reminders, receipts, confirmations
- • Bill PDF arrives inside the WhatsApp chat, not as a link
- • Your own verified business number and display name in the customer's phone
- • Free add-on: no 399Apps fee, no per-message markup — Meta bills you directly
- • Setup: ~1 hour of work + 1–14 days of Meta's verification queue (done for you free)
- • Templates need Meta approval; free-form replies only inside a 24-hour window
QR gateway — the third option, with caveats
The QR gateway pairs by scanning a code, works with a personal WhatsApp number and needs no Meta Business account. It exists in the codebase and is available on self-hosted deployments. It is the fastest route to automatic WhatsApp sending for a business that cannot wait for Meta's verification queue or does not want to register a second number.
The caveats are real. The gateway is not the official Meta API — it sits outside Meta's terms of service, which means Meta can block it at any time and the number used with it could be banned. It is not enabled by default on the 399Apps cloud service, and whether a gateway is configured for your deployment depends on your specific setup. Do not plan your WhatsApp workflow around this option without confirming it is available and understanding the risk. For any business that expects reliable, long-term WhatsApp messaging, the Cloud API is the correct path.
- • Pair by scanning a QR code — no Meta Business account or verification
- • Works with a personal WhatsApp number
- • Available on self-hosted deployments — not guaranteed on the cloud service
- • Outside Meta's terms of service: the number can be banned at any time
- • No template approval or 24-hour window — but no compliance protections either
- • Best treated as a stopgap, not a production solution
Who it's for and who it's not for
If you run a single-counter shop and send each customer their bill at the end of a sale, quick send does the job. You are already standing at the counter, the tap takes two seconds and the bill reaches the customer. Adding the Cloud API for this case is overhead for no gain.
If you send payment reminders on a schedule, run marketing campaigns to your customer list, send booking confirmations automatically, or operate multiple outlets where a central office triggers messages — the Cloud API is what you need. The automation, the PDF attachment and the verified sender name are worth the one-time setup. The QR gateway is for self-hosted deployments where the Cloud API is not an option and the risk is accepted.
- • Single counter, bill after each sale: quick send
- • Automatic payment reminders and receipts: Cloud API
- • WhatsApp marketing to your customer list: Cloud API (via Nidhi Campaigns)
- • Multi-outlet, central-office sending: Cloud API
- • Self-hosted, cannot use Meta API, accepts the risk: QR gateway
- • Not sure yet: start with quick send and switch to the Cloud API when you outgrow it
How the three methods compare
The comparison covers setup effort, who sends, what the customer receives, cost, reliability and when each method makes sense. All three are available on 399Apps — they are not competing products, they are steps on a ladder. Start at the bottom and move up only when the job demands it.
What 399Apps charges for WhatsApp
Nothing. Quick send is included on every plan, including the free trial. The Cloud API connection is a free add-on on any paid subscription — flat ₹399/month per app, unlimited users, prices exclude GST. Meta bills your business directly for the messages you send, at Meta's own published rates, and 399Apps adds no per-message markup. The QR gateway, where available, carries no separate charge.
Compare that to a WhatsApp Business Solution Provider (BSP) like Wati, Interakt, AiSensy or Gupshup, where the model is a monthly platform fee (commonly ₹1,000–₹2,500 a month) plus a per-message markup on top of Meta's wholesale rate. 399Apps is not a BSP and does not resell WhatsApp — it connects your billing software to your own Meta account.
How 399Apps helps
All three WhatsApp sending methods are included with 399Apps. Quick send works on every plan, including the free trial. The Cloud API is a free add-on on any paid subscription — flat ₹399/month per app, unlimited users, prices exclude GST. 399Apps sets up the Meta side for you at no charge, inside your own Meta Business account, so you own the WABA, the number and the templates. Meta bills you directly for messages and 399Apps adds no markup. Free for 14 days.
