Overview

Which lot it came from, and when it stops being sellable.

If you distribute medicines, packaged food, cosmetics or anything else that carries a lot number and a use-by date, "how much do I hold" is not enough — you need to know which lot, whose lot, and how long it has left. Nidhi Traces adds that layer on top of the stock you already record in Nidhi Inventory. Every delivery becomes a lot with a supplier lot number, a manufacture date and an expiry date; the expiring list shows what is running out of shelf life; outbound stock is allocated first-expired-first-out so the oldest sellable goods leave first; and when a supplier issues a recall, the forward trace turns a lot number into a list of customers with phone numbers and invoice numbers. A lot register per item

Each delivery is recorded as a lot with your own lot number, the supplier's lot number printed on the carton, and the manufacture, received and expiry dates. Lot numbers are unique per item, so two products can both carry the supplier's "L-2026-01" without colliding.

The expiring list

One screen of every lot you still hold that expires on or before a date you choose — item, lot, expiry, days left and quantity on hand. Lots with no expiry never clutter it. This is the list a distributor works down every week.

FEFO on the way out

Outbound stock is allocated first-expired-first-out automatically: earliest expiry first, undated lots last, ties broken by receipt date then lot code. A short allocation is refused outright rather than posting movements that do not add up.

Quarantine a lot instantly

A lot is open, quarantined, recalled or closed. Only an open lot allocates — the moment you quarantine one, automatic picking skips it and a manual pick of it is refused, rather than waiting for someone to tell the pickers.

The recall report

Enter a lot number and get who to contact: customer, phone, email, invoice numbers and quantity held, plus everything that left by a route other than a sale. The report reconciles received against issued plus on-hand and says so out loud when the two disagree, instead of showing a short customer list you would trust.

Trace backwards from a scan

Scan the sticker or serial on the goods, or type the invoice number a customer is complaining about, and get the lot it came out of — plus the supplier, the purchase order and the day it arrived.

Batch certificate PDF

One page per lot for a buyer's compliance desk: item, your lot number, the supplier lot number, manufacture, expiry and received dates, current status, your GSTIN, and every receipt that fed the lot.

It fits if

  • You are legally required to trace a lot

    If you run a pharmaceutical, food, FMCG or cosmetics distribution business, lot and expiry are not optional record-keeping — a recall has to name the customers who received the goods. That is what the forward trace produces.

  • Expiry write-offs are a real cost line

    If stock reaches its use-by date at the back of the shed because nobody picks it first, FEFO allocation is the fix: the earliest-expiring sellable lot leaves first by default, not by discipline.

  • Your buyers ask for paperwork per lot

    If hospital, institutional or export buyers want a document stating where a consignment came from and when it expires, the batch certificate is one PDF per lot.

It does not fit if

  • Nothing you sell expires

    A hardware shop, an auto-parts dealer or a garment store rarely needs a lot layer. Nidhi Inventory alone tracks stock, warehouses and barcodes at ₹399/month — do not pay for Traces to leave the expiry field blank.

  • You only need bins, not lots

    If your question is "which shelf is it on" rather than "which delivery was it", that is Nidhi Warehouse, a different ₹399 app. The two are independent — you can own either without the other.

  • You want full pharma ERP with a drug licence register

    Traces covers lots, expiry, FEFO, recall and certificates. Schedule-H registers, narcotic registers and drug-licence workflows are not in it. If those are hard requirements, a dedicated pharmacy ERP such as Marg ERP will fit you better today.

I distribute medicines — can 399Apps track batch numbers and expiry dates for me? +
Yes, that is exactly what Nidhi Traces does. You mark an item as lot-tracked, then every goods-receipt records which lot arrived, the supplier's lot number, the manufacture date and the expiry date. From there the expiring list, FEFO picking and the recall report all work off that record.
A supplier has issued a recall — how do I find out which of my customers received that lot? +
Open the recall report for the lot. It lists each customer who received any of it with their phone number, email, the invoice numbers involved and the quantity, plus anything that left by a route other than a sale. If what came in does not equal what went out plus what is still on hand, the report warns you that the customer list may be short rather than presenting a confident number.
Does it automatically sell the oldest stock first? +
It sells the earliest-expiring stock first, which is not always the oldest. FEFO — first expired, first out — is the default and only allocation strategy: earliest expiry first, lots with no expiry date last, and ties broken by receipt date then lot code so the same stock always allocates the same way.
My buyer's compliance desk wants a certificate for the batch — can I produce one? +
Yes. Every lot has a one-page batch certificate PDF: the item, your lot number, the supplier lot number, manufactured / expires / received dates, the current lot status, your GSTIN and every receipt that fed the lot. It is a statement of recorded fact, so it is deliberately not editable in the Invoice Designer.
I have the invoice number but not the lot — can I still trace it? +
Yes. The trace lookup accepts a serial, a sticker code scanned off the goods, or an invoice number, and returns the lots involved — and for each one, the supplier, the purchase order and the day it arrived.
Can I stop a suspect lot from shipping while we investigate? +
Set the lot to quarantined. Automatic allocation skips it immediately and a manual pick of that lot is refused with an error, so a shipment cannot quietly go out under a different lot number while the question is open. Recalled and closed behave the same way; only an open lot allocates.
Do I need Nidhi Inventory as well, or is Traces enough on its own? +
Run them together. Nidhi Traces reads the stock ledger and purchase-order receipts that Nidhi Inventory records — Inventory holds the stock, Traces adds the lot layer on top. Both are ₹399/month, so the pair is ₹798/month with unlimited users.
