Overview

What is still covered, and which contracts are due for renewal.

If you sell machines, appliances, pumps, inverters or electronics, the questions come back months later: is this one still under warranty, who is on a maintenance contract, and whose contract runs out this month. Nidhi Warranty & AMC keeps that record next to the sales you already bill in Nidhi Books. Cover on a serial-numbered unit is read from the sale — customer, item, serial and sale date — so you only type how many months it runs. A machine sold before you started using Nidhi can be registered by hand. When free cover ends, the AMC you sell next is billed through the customer's recurring invoice, so contract income shows up in the reports you already use. The renewals desk shows what runs out in the next 30 days and what already has. Available on the 399apps cloud or self-hosted.

A register of cover on what you sold

Register the warranty against a serial-numbered unit you sold, against a bill line for goods without serials, or by hand for a machine sold before you joined. Mark it as manufacturer, dealer or extended cover. The end date is worked out from the start date and the number of months, never typed, so 12 months from 1 January ends on 31 December.

Most of the form fills itself

Pick the unit you sold and leave the rest blank. The customer, the item, the serial and the sale date are read from the bill you already raised. You type only how long the cover runs.

AMCs billed on recurring invoices

Record the maintenance contract — customer, start and end date, fee, and whether it is billed weekly, monthly, quarterly, half-yearly or yearly — and put the fee on that customer's recurring invoice. Each bill is then raised by recurring invoicing in Nidhi Books, so AMC income lands in the reports you already have.

A contract can never be billed twice

Each contract owns exactly one line on the recurring invoice. Applying it again rewrites that line instead of adding a second. Nothing reaches the customer until you have seen the amount and confirmed it, and if the fee changed after you opened the page, the save is refused.

"Is it covered?" in one step

Type or scan a serial, or pick a customer or an item, and get one answer: covered until a date, not covered today, or cover ran out on a date. Sale warranty and AMC cover are listed together. If you also use Nidhi Job Cards, the warranty on repairs you did shows up in the same list.

The renewals desk

One screen with two lists: contracts and sale cover ending in the next 30 days, and those that have already lapsed. Cancelled contracts and contracts already renewed are left off, so the list is only what still needs a phone call.

Renew with one button

Renewal starts the next period the day after the old one ends, with the same customer, machines, fee and billing cadence. The fee line moves to the new period instead of being copied. A one-year contract renews into a full calendar year, and the old period and its bills are left untouched.

A reminder email before the AMC ends

Customers with an email on file get one renewal email 30 days before their contract ends, with the end date and the fee. It goes once per contract per end date, however often the nightly check runs, and you can switch it off.

Fit check

Who Nidhi Warranty & AMC is for — and who it is not for.

Warranty and AMC tracking pays for itself in some businesses and is wasted in others. Read this before you add the app.

It fits if

  • You sell things that come back for service

If customers return with a machine and ask "is this still under warranty?", the lookup answers from the serial in one step, instead of someone searching old bills.

  • AMC income is slipping through

If AMCs are written on paper or raised as a one-off invoice and forgotten, putting the fee on a recurring invoice and working the renewals list every month is how that income keeps coming in.

  • You run a service desk as well as a counter

With Nidhi Job Cards alongside, the counter and the workshop see the same cover for the same machine, including the warranty on past repairs.

It does not fit if

  • Nothing you sell carries cover

A grocery store, a garment shop or a stationery seller rarely gives warranties or sells AMCs. Nidhi Books alone covers billing at ₹399/month — do not pay for an empty register.

  • You need technician visit scheduling

This app tracks cover, bills contracts and chases renewals. It does not plan preventive maintenance visits, assign technicians to routes or record site visits. If that is the core of your AMC business, a field-service package such as Zoho FSM will fit you better today.

  • You want warranty claims filed with the manufacturer

The register records what cover a machine has. Raising and tracking claims with the brand or the manufacturer's portal is not part of it.

Dhyaan dein. Nidhi Warranty & AMC reads the invoices and customers you keep in Nidhi Books, and bills contracts through its recurring invoices, so the two run together — ₹399 + ₹399 = ₹798/month with unlimited users. Serial numbers come from Nidhi Inventory if you track serials there; without it, register cover against a bill line or by hand.

FAQ

Warranty & AMC — FAQs

A customer walks in with an inverter we sold last year — how do I check if it is still under warranty? +
Open "Is it covered?" and type or scan the serial. You get one answer — covered until a date, not covered today, or cover ran out on a date — with the sale warranty and any maintenance contract on that machine listed together. You can also search by customer or by item when there is no serial.
Can I bill annual maintenance contracts automatically every year or quarter? +
Yes. Record the contract with its fee and how often it is billed — weekly, monthly, quarterly, half-yearly or yearly — and put the fee on the customer's recurring invoice in Nidhi Books. The bills are then raised on that schedule. You confirm the amount once before anything reaches the customer.
How do I know which AMCs are due for renewal this month? +
The renewals desk lists every contract and sale warranty ending in the next 30 days, and everything that has already lapsed. Contracts that are cancelled or already renewed are left off, so you only see the ones that still need a call.
How does renewing a contract work? +
Press Renew. The next period starts the day after the current one ends, with the same customer, machines, fee and billing cadence. The fee line on the recurring invoice moves to the new period, so the customer is not billed twice. To renew at a new price, edit the new contract and confirm the new fee.
Will the customer get a reminder before their AMC runs out? +
If the customer has an email address on file, they get one renewal email 30 days before the contract ends, showing the end date and the fee. It is sent once per contract per end date, and you can switch it off.
We sold machines before we started using Nidhi — can we still register their warranty? +
Yes. Register cover by hand with the customer, item, serial and start date. For sales billed in Nidhi, pick the unit or the bill line instead and the details are read from the sale.
What happens to bills if a customer cancels their AMC midway? +
Cancelling the contract removes its fee from the recurring invoice, so future bills stop. Bills already raised are left alone — settle any refund for early cancellation with a credit note.
Do I need Nidhi Books as well? +
Yes. Warranty & AMC reads the invoices and customers in Nidhi Books and bills contracts through its recurring invoices. Both are ₹399/month, so the pair is ₹798/month with unlimited users. Nidhi Inventory is optional — use it if you track serial numbers.
What does Nidhi Warranty & AMC cost? +
₹399/month on the 399apps cloud, like every other app, with unlimited users and no cap on how much cover or how many contracts you record. Self-hosted deployment is available on the same product.
