WhatsApp billing

Billing software that sends the bill to your customer’s WhatsApp, from your own number

Short answer: Nidhi POS, the 399Apps counter-billing app, sends each bill to the customer’s WhatsApp as a PDF from your own WhatsApp Business number, one tap after the sale. Connecting that number is free on any paid plan, and we do the Meta setup for you at no charge. Meta bills your messages directly, with no markup from us. ₹399/month, unlimited users.

How a bill reaches the customer’s WhatsApp

  1. Ring up the sale in Nidhi POS on any phone or tablet: scan or tap items, take Cash, UPI or Card.
  2. Tap Send receipt on the screen that follows the sale. The customer’s number comes from the sale, and the button stays off when there is no number to send to.
  3. The PDF arrives in their chat from your business number, with a line like “Hi Ravi, here’s your invoice INV-1042 for ₹1,180.00. Thank you for your business!” You set once whether the PDF is the 80mm counter slip or the full GST tax invoice.

Each sale also posts to Nidhi Books, so the bill on WhatsApp is the same bill in your GST returns. There is no separate app to keep in step.

Before your WhatsApp Business account is live

You can start the same day. Until the official connection is approved, Send receipt opens WhatsApp on your own phone with the message already written and a link where the customer can open their bill. This quick send needs no Meta account and costs nothing. The only difference is that the customer taps a link instead of getting the PDF in the chat.

Why your own number, and not a reseller’s

Most WhatsApp invoicing in India runs through a Business Solution Provider (BSP) or an API gateway such as Wati, Interakt, AiSensy or Gupshup. They charge a monthly platform fee and usually add a markup to every message. 399Apps is not a BSP. You connect your own WhatsApp Business account through Meta’s Cloud API, and Meta bills you for messages at its own rates.

399Apps (Nidhi POS) Typical BSP or gateway route
Whose number the bill comes from Your own WhatsApp Business number Usually the software company’s shared number, or a forward from your phone
What the customer receives The bill PDF, inside the WhatsApp chat Often a link to open, or a PDF you forward by hand
Monthly fee for the WhatsApp connection ₹0 on any paid plan Commonly ₹1,000–₹2,500 a month
Per-message markup None. Meta bills you at its own rate Usually added on top of Meta’s rate
Setup of the Meta account Done for you, free, in your own Meta Business account Done by the reseller, often in an account they control
If you leave Revoke our token. The number and templates stay yours Moving the number can mean starting over

The official connection takes about an hour of form-filling plus Meta’s verification queue of 1 to 14 days. On any paid plan we do that work for you, inside your own Meta Business account: business verification, the WhatsApp app, registering your number, the permanent access token and the webhook. Everything we create belongs to you, and revoking our token ends our access with nothing to cancel. Would rather do it yourself? Follow the WhatsApp Business API setup guide. What else goes out on WhatsApp

  • To you, the owner: a daily or weekly sales summary, the monthly GST report, low-stock alerts and supplier delivery alerts. You switch each one on per channel in Settings → Notifications.
  • To customers, by hand: a quick send from the WhatsApp screen with ready-made messages, including a payment reminder.
  • To customers, in bulk: promotional campaigns to customers picked from your own ledger, with Nidhi Campaigns.

Who it’s for, and who it isn’t

If you run a counter shop (a kirana, pharmacy, garment or mobile store, a café) and your customers would rather get the bill on WhatsApp than on paper, 399Apps fits, because the send is one tap from the sale and comes from the number they already save as your shop.

If you need automatic WhatsApp payment reminders for credit customers today, 399Apps sends those by email for now, so a tool built around WhatsApp collections will serve you better until that changes. If you are a trainer or coach billing clients on WhatsApp, our sister product Croodit is built for exactly that. If you run a school, see 399apps for Schools, a separate product priced per school.

Common questions

I run a shop in India. Can my billing software send the bill straight to the customer’s WhatsApp?

Yes. In Nidhi POS, the screen after every sale has a Send receipt button. With your WhatsApp Business account connected, the bill goes to the customer’s WhatsApp as a PDF from your own business number. You choose whether that PDF is the 80mm counter slip or the full GST tax invoice.

Will the bill come from my shop’s number or from 399Apps’ number?

From yours. 399Apps is not a WhatsApp reseller (BSP) and has no shared sending number. You connect your own WhatsApp Business account through Meta’s official Cloud API, so your customers see your business name, and the account, the number and the message templates stay in your own Meta Business account.

What does it cost to send invoices on WhatsApp with 399Apps?

Nothing extra from us. Nidhi POS is ₹399/month with unlimited users, and connecting your WhatsApp Business account is free on any paid plan. Meta charges you directly for each business-initiated message at its own published rates, and 399Apps adds no markup. The quick-send option that opens your own WhatsApp needs no Meta account and costs nothing at all.

Setting up the WhatsApp Business API sounds hard. Do I have to do it myself?

No. We set up the Meta side for you, free, inside your own Meta Business account: business verification, the WhatsApp app, registering your number, the permanent access token and the webhook. Meta’s own verification queue still takes 1 to 14 days, and nobody can shorten that. If you prefer to do it yourself, our step-by-step guide covers every screen.

Can I send a bill on WhatsApp before my Business API account is approved?

Yes. Until the connection is live, the same Send receipt button opens WhatsApp on your own phone with a message ready to send. The message carries a link where the customer can open their bill. WhatsApp does not let a link like this attach the PDF itself, which is the main reason to connect the Business API later.

Does 399Apps send payment reminders on WhatsApp automatically?

Not yet. Automatic due-date reminders in Nidhi Books go out by email today. You can send a reminder on WhatsApp by hand from the WhatsApp screen, which fills in a ready-made reminder message and opens your own WhatsApp. If you need WhatsApp reminders that run by themselves every day, 399Apps does not do that yet, and this page will say so when it does.
