Can I send invoices on WhatsApp from 399Apps?

Short answer

Yes, from Nidhi POS. Tap Send receipt after a sale and the bill goes to the customer’s WhatsApp as a PDF from your own WhatsApp Business number. Connecting that number, and the Meta setup, are free on any paid plan, with no per-message markup. Nidhi Books invoices go by email with the PDF; its WhatsApp option is a typed message without the PDF.

Sending a bill from the counter: Nidhi POS

Ring up the sale in Nidhi POS on a phone, tablet or PC, take Cash, UPI or Card, and the next screen has a Send receipt button. The customer’s number comes from the sale; if there is no number, the button stays off. With your WhatsApp Business account connected through Meta’s official Cloud API, the PDF arrives in the customer’s chat with a line such as “Hi Ravi, here’s your invoice INV-1042 for ₹1,180.00. Thank you for your business!”

You decide once whether that PDF is the 80mm counter slip or the full GST tax invoice. Every sale also posts to Nidhi Books, so the bill on WhatsApp is the same bill that appears in your GST returns.

Until the Business API is approved, the same button opens WhatsApp on your own phone with the message already written and a link where the customer opens the bill. That needs no Meta account and costs nothing; the only difference is a link instead of a PDF in the chat.

Sending an invoice from Nidhi Books

Invoices raised on the Nidhi Books invoice screen, the usual path for a trader or service business billing on credit, are sent by email: one click sends the PDF with a pay link, and the invoice page shows whether the customer opened it. Due-date reminders also go by email.

On WhatsApp, Books gives you quick send: pick the customer on the WhatsApp screen, choose a ready-made message such as “a quick reminder that your invoice is due”, and it opens in your own WhatsApp. The message is built in your browser, and 399Apps never sees it. What it does not do today is attach the invoice PDF, so if a customer wants the PDF on WhatsApp, download it and forward it yourself.

Your own number, not a reseller’s

399Apps is not a WhatsApp Business Solution Provider (BSP) like Wati, Interakt, AiSensy or Gupshup, which typically charge a monthly platform fee and add a markup on each message. You connect your own WhatsApp Business account, so the account, the number and the message templates stay in your Meta Business account, and revoking our access token cuts us off with nothing to cancel.

On any paid plan we do the Meta setup for you, free: business verification, the WhatsApp app, registering your number, the permanent access token and the webhook. Meta’s own verification queue still takes 1 to 14 days. Meta bills each business-initiated message to you at its own published rate, and 399Apps adds nothing on top.

Who this fits, and who should look elsewhere

If you run a counter shop (a kirana, pharmacy, garment or mobile store, a café) and customers would rather get the bill on WhatsApp than on paper, Nidhi POS fits: the send is one tap from the sale, it comes from the number they already have saved as your shop, and the app is ₹399/month with unlimited users.

If you bill mostly on credit from Nidhi Books and need the invoice PDF and automatic payment reminders to go out on WhatsApp by themselves, 399Apps does not do that today. Email covers it here, and a WhatsApp-first collections tool will serve you better until that changes. If you are a trainer or coach billing clients on WhatsApp, our sister product Croodit is built for that. If you run a school, 399apps for Schools is a separate product priced per school.

Sending a GST invoice on WhatsApp does not change its validity: WhatsApp is only the delivery channel, and the invoice still needs the fields GST law requires, which the 399Apps PDF carries.

FAQ

More questions

I run a small shop — will my customer get the actual bill PDF on WhatsApp, or just a link? +
The PDF, once your WhatsApp Business account is connected. Nidhi POS sends it into the customer’s chat from your business number. Before the connection is approved, Send receipt opens your own WhatsApp with a link to the bill instead, because a plain WhatsApp link cannot attach a file.
Will my customers see my shop’s number or a 399Apps number? +
Your number. 399Apps has no shared sending number and is not a reseller. You connect your own WhatsApp Business account through Meta’s Cloud API, so customers see your business name and reply straight to you.
How much extra do I pay to send invoices on WhatsApp? +
Nothing to 399Apps. The WhatsApp connection is free on any paid plan and we add no per-message markup. Meta charges you directly for business-initiated messages at its published rates. Quick send, which opens your own WhatsApp, needs no Meta account and costs nothing.
I raise GST invoices for my trading customers in Nidhi Books. Can I WhatsApp the invoice from there? +
Not as a PDF today. Nidhi Books emails the invoice PDF with a pay link in one click. On WhatsApp you can send a ready-made text from the WhatsApp screen, such as a due reminder, but you would forward the PDF yourself. Counter bills from Nidhi POS are the ones that go out as a PDF on WhatsApp.
Does 399Apps send overdue payment reminders on WhatsApp automatically? +
No, not yet. Automatic due-date reminders go by email. You can send a reminder on WhatsApp by hand from the WhatsApp screen, which fills in the message and opens your own WhatsApp.
Setting up the WhatsApp Business API sounds technical. Who does it? +
We do, free, on any paid plan, inside your own Meta Business account. It is about an hour of setup plus Meta’s verification queue of 1 to 14 days. If you would rather do it yourself, the WhatsApp Business API setup guide walks through every screen.
Is a GST invoice sent on WhatsApp legally valid? +
Yes. GST law allows invoices to be issued electronically, and WhatsApp is just how it reaches the customer. What matters is that the invoice carries the mandatory fields, such as GSTINs, HSN or SAC codes, tax rates and amounts, which the 399Apps tax invoice PDF includes.
