A tent house, a construction equipment hirer and an AV rental shop all run on the same question: is this piece of kit free on those dates, and if it is out, who has it and when is it coming back? Nidhi Rentals keeps the fleet register — each asset with its day rate, deposit and where it is kept — and books it out to a customer between two dates. The same asset can never be booked to two customers over overlapping dates; the database refuses it, so two people at the counter cannot both promise it. The hire board shows overdue, due back today, out now and coming up. When the kit comes back, the return records the date, the condition and any damage recovery, and works out days late by itself. The finished hire becomes a draft invoice in Nidhi Books with the hire, extra days and damage on separate lines, and the deposit is marked refunded, adjusted or forfeited.

Every piece of kit you hire out is one asset: its name, the catalogue item behind it, the day rate, an optional weekly rate, the deposit you normally hold, and the branch or warehouse it is kept at. Link a serial number when you track the unit individually. Retire an asset and it can no longer go out.
One asset cannot be out to two customers over overlapping dates. This is enforced by the database itself, not just a form check, so two staff booking the same generator for the same weekend at the same second cannot both succeed. Cancel a hire and its dates are free again.
One screen the counter runs on all day: overdue, due back today, out now and coming up, plus what came back recently. It is laid out as simple lines, so it works on a phone as well as the counter PC.
A hire takes the asset's day rate unless you type a different one for this customer. Once booked, that rate is frozen on the hire — repricing the fleet next month never changes a hire that is already out.
Record when it came back and in what state: came back fine, came back damaged, or never came back. Days late are worked out from the due date, never typed. Damage recovery is its own amount with a note on what happened, and the person who received it is recorded automatically.
Mark a hire as never came back and the asset is retired from the fleet, so nobody can book out a machine you no longer have.
The finished hire becomes a draft invoice. The hire is taxed at the GST rate of the item itself, not a flat services rate. Extra days go on as more hire at the same rate. Damage or loss recovery goes on as a separate line with no GST. A hire can only be billed once.
On the same screen as the bill, mark the deposit refunded in full, adjusted against the hire, or forfeited against damage, with the amount you keep. You cannot keep more than you took, and a deposit is settled only once. You can bill now and decide the deposit later.

You hire out identifiable pieces of kit
A generator, a JCB, a scaffolding set, a PA system, a stage truss, a camera body. If you can name the thing that goes out, it is one asset on the fleet register and one line on the hire board.
Double-bookings have cost you a customer
If two people at the counter have ever promised the same equipment for the same date, the overlap check is the fix. The second booking is refused with a message, not discovered on the day.
Deposits and damage end in arguments
If settling up means working out late days, damage and how much of the deposit to keep by hand, the return and settle-up screens put all three on record, separately, and bill them with the right tax.
You hire by count from a pool
Each hire is one asset to one customer between two dates. If your order is "300 chairs and 40 tables", Rentals does not count from a stock pool — you would register sets (for example "Chair set of 50") as assets. If quantity-based booking is a hard need, a dedicated rental ERP will fit better today.
You rent out space, not kit
Godowns, storage units and rooms are Nidhi Storage, a different ₹399 app. Goods you sell and never get back belong in Nidhi Inventory.
You need delivery routes and a field crew app
Rentals records the booking, the return and the bill. It does not plan delivery trips or give site staff a check-out app. Use the hire notes for site and contact details.
