Data portability · no lock-in

Can I export my data from 399Apps if I decide to leave or switch?

Short answer

Yes. Your data in 399Apps is yours — export your parties (customers and suppliers), items, ledgers, trial balance, profit & loss, GST reports and full invoice history to Excel, CSV or PDF at any time from inside the app, on any plan. No special exit request, no support ticket needed. If you self-host, you hold the database directly.

What you can export, and in what format

Every plan includes export for the data that matters most to a small business: your customers and suppliers, your item and stock list (with HSN/SAC codes and GST rates), your full invoice history for both sales and purchases, your ledgers and account heads, your trial balance and profit & loss, and your GSTR-1 and GSTR-3B reports. These export to Excel, CSV or PDF from inside the app — the same formats every CA and accountant in India already works in.

There is no "export plan" to unlock, no exit fee, and no ticket to raise asking for your own data. You go to Reports or the relevant module, hit Export, and you have the file. That is the same experience on day one and year five — the data is yours throughout.

What happens to your data if you stop paying

This is the question most buyers think but rarely ask directly: if I cancel my subscription tomorrow, what happens to the three years of invoices I entered? The honest answer is that your data does not disappear the moment your plan lapses. You retain access to export your records — there is no sudden cutoff on day one where years of business history become inaccessible because of a missed renewal.

Even so, the safest habit is to export a fresh copy of your ledgers, invoice list and party master before any planned switch — the same way you would keep a Tally backup before reinstalling. Not because the data will vanish, but because a clean local copy means your history is always in your hands, independent of any software company staying reachable. Cloud or self-hosted, this is good hygiene.

Self-hosting: the lock-in floor, for those who want it

399Apps can be self-hosted on your own server or a local PC. When you self-host, you are not asking anyone's permission to access your data — you hold the database file directly, under your own roof, on infrastructure you control. If you want the guarantee that no company policy change, no billing problem and no server migration ever puts your data out of reach, self-hosting is that guarantee.

Self-hosting is not the default, and it is not the right fit for every business — most small shops prefer the cloud because someone else handles backups and GST updates. But the option being there matters: it means the ultimate lock-in protection is always available if you want it, without moving to a different product. The cloud version and the self-hosted version are the same software.

Your CA's data format is already covered

The most common data-portability question from Indian SMBs is not "can I export to CSV" — it is "will my CA be able to use whatever I give them?" The answer is yes on both ends. You can export ledgers, trial balance, P&L and GSTR data to Excel or PDF, and your CA already works in Excel. And for CAs who are on TallyPrime, Nidhi Books exports your sales invoices as Tally-native XML (masters and vouchers), which they can import with the standard Alt+O shortcut — no conversion tool, no re-keying.

That means a switch to 399Apps does not force your CA to change how they work. They stay in TallyPrime; you run the business on the cloud. And if you ever move away from 399Apps, your CA already has clean, importable records — not a proprietary file that only opens in one app.

FAQ

More questions

Can I export all my data from 399Apps at any time? +
Yes. You can export your parties (customers and suppliers), items, invoices, ledgers, trial balance, profit & loss and GST reports to Excel, CSV or PDF from inside the app on any plan, at any time — no special request or exit process needed.
What happens to my data if I cancel my 399Apps subscription? +
Your data does not disappear the moment a subscription lapses — there is no sudden cutoff. The safe practice is to export a fresh copy of your ledgers, invoice list and party master before any planned switch, so your records are in your hands regardless of any future software changes.
Can I export to Tally format for my CA? +
Yes. Nidhi Books exports your sales invoices as TallyPrime-native XML — masters and vouchers — which your CA can import into TallyPrime using the standard Alt+O shortcut. This is a one-way export of sales data, not a full two-way sync, but it covers the standard CA handoff for GST audit and ITR filing.
Is my data in a proprietary format that only 399Apps can read? +
No. Your data exports to standard formats — Excel, CSV and PDF — that work in any spreadsheet tool, accounting software or your CA's existing workflow. Nothing is locked to a format that only opens in 399Apps.
What if I want complete control over my own database? +
Self-host 399Apps on your own server or a local PC. When you self-host, you own the database directly — no cloud subscription, no dependency on any external company to access your records. The self-hosted and cloud versions are the same software.
Will I lose years of invoices and records if I switch to a different software later? +
No. You can export your full invoice history — sales and purchase — to Excel, CSV or PDF before you switch. Keep that export as your archive, and your records are available independently of any software you use going forward.
